Take Home Rights to Microsoft Office and other software

Yes, there are "take home rights" to some of the software that you use in your classroom, which includes Microsoft Office 2010, Sophos Antivirus, Inspirations, and if you are at WHS, Adobe Creative Suite 4.

There's a form, created using a template from Microsoft, that outlines the "rules" around this use. It's located on the WSD Technology page, under the Business/Operations menu on the WSD Website, also linked here:

It's called the "Take Home Rights Agreement" and in a nutshell, it says you'll use the MS software for work related purposes, and that you'll uninstall it if you ever leave your job at WHS. Note that for both the Microsoft software, and the Adobe software for WHS, your at home use is restricted to work related purposes, which would cover things like lesson planning, working on school projects, grading student work, etc.

You're entitled to the same version of MS Office as you have at work on your teaching computer.

If you are interested in this, please download the form, sign it and initial in the row of lines, and send the form along with a blank DVD to Les Brown. He will copy the installation media onto the DVD, and send it back to you.

1. New E-mail Login Screen – why you might get “incorrect password”

Please read this: A common frustration that’s come up with the new e-mail system is getting a message saying you’re entering the “incorrect password” when you know it’s the right one. The problem might be this: When you follow the link from the district website, For District Employees page, to the e-mail login screen, it knows that you’re using a washougalsd.org e-mail, and you don’t have to enter that part. If you click Log Out, it takes you to a generic Google or gmail login page, where you do need to enter it.

Here’s a handy way to remember which is which:

If the background is green, and you have a district logo, enter just first.last as the username

If the background is grey, and there’s NO district logo, enter your WHOLE e-mail as the username.

The password is the same for both!

2. Next Round of Innovation Grants $2,500 deadline 3/9/2012

The Washougal School District Technology Committee is interested in having teachers pilot new and innovative technology that might be adopted into wider use as part of the standard classroom model. To further this goal, the technology committee is seeking proposals from staff for technology they are interested in piloting. Applications must meet these criterion:

Technology funded through this mini-grant must lend itself to Tier 3 teaching. (for a definition of Tier 3 teaching, please visit the OSPI Tech website at http://www.k12.wa.us/EdTech/ ) The Technology should have an impact on student learning. Technology funded through this mini-grant should have applications for several curriculum areas and grade levels.

The technology should have reasonable support and system requirements. Technology should be inexpensive enough that it could be made part of the district standard. Applications should cost less than $2,500, and cannot be for software or subscriptions to online services.

Grant seekers should be interested in piloting the technology, and also willing to share their experiences with the committee, and to co-teach a class on utilizing the technology if it were adopted in wider use.

If you are interested in learning more, or would like to fill out the application, you can find the application on the District webpage under Business/Operations then Technology.

3. Turn Off the “Web Clip” headline in your e-mail

Tech Support Specialist Anthony Collver has provided these directions:

Many people have asked how to remove the advertisement that can be seen above your inbox in the new web-based e-mail. This is the "Web Clip" feature and display content from Google partner sites. In order to modify or turn off this feature, do the following:

1. Log into mail

2. On the right side of the screen click on the gear icon and select mail settings.

3. One of the headings under settings will be for "Web Clip".

4. Once you have selected web clip, you will see a list of places web clip pulls headlines from. You can now modify that list to present items of interest, or you may turn it off entirely.

4. Online Survey for Strategic Planning – please give your input

The Strategic Planning Steering Committee is collecting input via a voluntary online survey on the state of and use of the district’s facilities. WSD Staff are invited to share their thoughts via an online survey. You can find a link to the survey on the main WSD webpage, or click this link:

5. OSPI Required Teacher & Administrator Survey

Certificated Teachers and Administrators are required to take the annual technology integration survey, or PILOT survey. Classified staff do NOT need to take this.

Go to http://www.edtech.wednet.edu/pilot/

Click on the "Login" button, and enter your NEW Washougalsd.org e-mail address in the Username box (I have updated the PILOT site to use the new ones instead of the old e-mail addresses). Enter the password you selected previously in the next box, and click login.

If you can't remember your username/password combo, you can have it automatically e-mailed to you using the "Forgot Username/Password" link. The PILOT site will e-mail you your login and password.

Once you get in, please choose the "Technology Integration and Proficiency Self-Assessment". After clicking this link, it'll ask you for your grade level, please choose either Grades K-4, or Grades 5-12 as appropriate.

When you're done, make sure to click "Submit Answers" at the bottom, and your scores are saved. You can view your results from the main menu, and see how you've improved over the past year.

Teachers must complete the survey by 3/15/2012.

6. Rescheduled Document Camera Refresher Class – 3-7-2012 at Hathaway

Space is available in the rescheduled "Document Camera Refresher" course that Philicia Weaver is facilitating. The class will be on March 7, 2012, from 4-5:30 PM, in Philicia's classroom at Hathaway (Room 126). Please let Les know if you're interested in attending. Philicia will show how to hook up the document camera, some neat tricks on using it that you may not have discovered, and will talk about curriculum applications. There will also be lots of times for questions or hands-on instruction if people have specific things they'd like to learn. Teachers who attend the class can pay themselves to attend, if the class aligns with their professional growth plan, they have professional growth funds available, and their principal signs off on the timecard. Classified staff are also welcome to register/attend this class, but there is not a mechanism for them to pay themselves to do so.

7. Have an idea for a Tech integration class for 2012-2013?

WSD Tech staff have started planning for the tech integration classes for 2012-2013, and we are looking for ideas! If you have a topic or class idea you’d like to see offered, please let Les Brown know, and he’ll include it in the survey that’ll go out in April. Course offerings will be based on the interest as expressed in the teacher survey. Teachers who participate in the Technology Committee will also be helping seed the topics for the survey. If there’s a Tech class you’re interested in co-teaching, contact Les, and he’ll add it as a proposal. If enough other teachers are interested, Les will work with you to plan and facilitate the class, and you’ll get paid both for planning time and the time you teach the class.

8. Filter Warning On Projector – Way to Extend the Life of Your Projector Bulb

WSD staff have been doing a great job of letting Sean Elkinton and Anthony Collver know when their projector’s filter needs to be cleaned, and we’re seeing this in how long the bulbs last! Given that the replacement bulbs cost around $250, this is great news. As a reminder, the filter timer on most projectors comes on around every 100 hours. When it does, let Sean or Anthony know, and they’ll come clean it out for you. It’s quick, easy, and it prolongs the life of your projector bulb. A dirty filter can increase the heat inside the projector, causing premature failure of the bulb or the whole projector!

How to lock your screen on a Mac

Board policy 2022 recommends that staff with confidential files use a screen locker to help protect the privacy of information on the computer. Here’s how to set it up on your Mac:
Open System Preferences (from the Apple menu, or the Dock).


Click on Desktop & Screen Saver, then click the “Screen Saver” tab if it’s not already selected.

Pick any screen saver (you can preview them by clicking them once). Set a time for it to start
(10 minutes is usually good.)

Click on Show All in the Tool bar, to get back to the System Preferences.
Click on Security in the top row of System Preferences

Check the Box for “Require a password to wake this computer from sleep or screen saver.”
Optionally: you can make it so that the screen saver starts when you “park” your mouse in one corner of the screen. The lower left corner works well for this.
In system Preferences, click Desktop & Screen Saver

Click Hot Corners in the lower Left

Choose the drop down menu in the lower left, and select “Start Screen Saver”
Click OK to close
When you move your mouse and leave it in the lower left corner of your screen, the screen saver will start, and lock your screen.


Resetting a "stuck" teacher account in Read Naturally


If you are trying to log into the teacher part of Read Naturally, but get an error saying that the teacher account is already logged in, you need to reset the teacher account. You can do this by clicking on the Network menu at the top of the screen, and then choosing "Reset Logged In Teacher."

You'll be prompted for both the Administrative password and your teacher password for Read Naturally. The Administrator password is probably different from your Teacher Account, and the server administrator (Les in Washougal for our district) can retrieve it using the Admin Password utility in the \Library\RNSE\ folder on the Read Naturally server in your building.

Finding e-mail that you've "archived" in the new mail system

If you're looking to find out how to retrieve messages that you've "archived" in the new washougalsd.org e-mail domain, you can do this:

Hover your mouse above the list of labels/folders in the left side bar of the e-mail system
Click on "More" at the bottom
Choose the "All Mail" folder

This will show all messages from any folder in your mailbox.

1. New E-mail Login Screen – why you might get “incorrect password”
A common frustration that’s come up with the new e-mail system is getting a message saying you’re entering the “incorrect password” when you know it’s the right one.  The problem might be this:  When you follow the link from the district website, For District Employees page, to the e-mail login screen, it knows that you’re using a washougalsd.org e-mail, and you don’t have to enter that part.  If you click Log Out, it takes you to a generic Google or gmail login page, where you do need to enter it.

2. New email system Tips & Tricks
You can set a fun, personal look to your new e-mail interface. To do this, log into your washougalsd.org e-mail, then click the Sprocket in the upper right corner.  Choose Mail Settings.  Click once on “Themes” in the bar below the sprocket (it’s the farthest to the right).  Click any of the boxes to “preview” the new themes.  If you want to go back to the plain grey one, choose “light”.

You can create a signature file for yourself, too.  A signature is a block of text that gets added to the bottom of each e-mail you send out.  Usually this would include your name, title, and contact info, but some people include a quote or other fun information.  To do this, click the Sprocket in the upper right corner, choose mail settings, and look for Signature under the “General” tab.  It’s about 2/3rds of the way down.  Make sure you click “save changes” at the bottom of the page after you’re done!

To report Spam, click the Exclamation point icon while a message is selected. 

If you want to review messages that have been flagged as SPAM, do this: 
Hover your mouse above the list of Labels, below the word “Inbox” in the left column of your e-mail.  Choose “More” from the bottom of the list.  It’ll drop down, and show you the SPAM folder.  Click on it, and you’ll see the list of messages that the e-mail system thinks are junk e-mail.  If there’s a legitimate message in there, click it once, then click the Not SPAM button.  This will teach the e-mail system that this is not a message that should have been flagged.

4. Certified Staff Days Calendar – Now with more privacy
Per a request from some teachers, the Certified Staff Days calendar is now set so that it can only be viewed by district staff.  You can find the Certified Personal Days Calendar on the “For District Employees” page of the WSD website.  To view events, you must be logged into your WashougalSD.org e-mail in the same web browser.  If you see just the white calendar grid, you need to open your e-mail, then click the refresh button.

If you have a suggestion for something else that could be added to this page (check first to make sure it’s not already there!), e-mail Les Brown and he’ll look into adding it to share with everyone.

5. OSPI Requried Teacher & Administrator Survey

6. PowerPoint Refresher on February 16 4-5:30
There is still lots of space in the PowerPoint refresher class that Les Brown is facilitating later this month.  If you’re interested, just e-mail les@washougalsd.org and ask to be added to the list.  The class will be held in the Excelsior High School Lab from 4 to 5:30 PM.

7. Inventory is underway at Hathaway
The every-other-year district inventory is moving along.  Hathway and Gause Elementary School inventory is done, and work is underway at Cape and CCMS.  Here are some simple steps to help make sure the work in your classroom goes smoothly.
- Make sure any personal equipment is marked as belonging to you and not the district.  A sticker or note stuck to the equipment would be very helpful!
-  Make sure any new WSD equipment to your classroom has a tag
- You must get permission from your building administrator to check out any equipment.  There is a short form they need to keep track of while you have the item away from the building.
- If you have equipment on loan to another staff person, you should have it written down somewhere in your room, or document it with your building’s inventory designee.

8. Sean’s UserBox Directions for the Konica Copier
Sean Elkinton writes that The UserBox is a folder on the copier that stores your documents that you want to print.  It can hold all your print jobs you send there until you are ready to print them.  Once the UserBox is setup on your computer then it functions the same way as a printer so when you print to the copier it is automatically copied to your UserBox.

Here are Sean’s Directions to use the UserBox:
1) login with your code number
2) push the UserBox button
3) push the 2nd item in menu, "Use Document"
4) push "Search UserBox"
5) select your UserBox icon and select OK
6) select the document and push Print
7) push start button

New features to try on the web-based e-mail system


New eMail Features:

Signatures:  Click the Sprocket, then choose Mail Settings.  On the General tab, about ½ way down.  Enter your name, contact info, building website, or whatever you want in the box.  This will support “rich text” like bold, links, etc.

Add a picture others will see when you e-mail them.  On the General tab, about ½ way down, called My Picture.  You can upload a picture file into e-mail that will show up in the corner of messages.

You can turn on or enable “Drag and Drop file attachments” at the bottom of the General page in the mail settings.  When composing a message, just drag a file into the header area to attach it.  (If it doesn’t work, you might need an update to Adobe’s Flash Player).

Turning on “display images from trusted senders”.  When you get an e-mail that has images embedded in it, you can choose to add this sender to the “safe senders” list, which will make them show up.  Having this turned off by default is a security feature, keeping you safer from SPAM senders.

To mark messages as SPAM, click the “Exclamation point” icon. 

If you miss the split screen preview of messages, where you can have the e-mail list and the pane showing the contents, you can turn this on under Sprocket/Mail Settings/Labs/ then turn on Preview Pane

Check out the other options available in there, too.  There are several dozen to choose from, including “Mail Goggles” which lets you add a time delay to when outgoing messages are sent.  This can be useful if you often regret sending a message immediately after pressing “send”, and let you pull it back out of your sent mail. 

Note:  If you sign in using the http://mail.washougalsd.org login, you only enter your username (first.last) in the box.  If you sign in on any other google page (grey background, no WSD logo, you MUST use your entire e-mail address.  Either way, the passwords are the same.
