Sync eMail/Calendar to an iPhone/iPad using WashougalSD.org account


Using the new WashougalSD.org e-mail and calendar with an iPhone/iPad/iPod touch
AFTER you start using the new WashougalSD.org e-mail and the Google Calendar that goes with it, you can optionally use “Sync” to receive e-mail and calendar items from Google on your iPhone, iPad, or other iOS device.  A set of similar directions are available for Android based devices at this address:

Follow the steps below to setup Google Sync on your iPhone, iPad, or iPod Touch.
You MUST sync your phone to your computer using the cable before starting this, so that if you lose data, you can recover it!
Requirements and Backing Up Data
1. Google Sync is only supported on Apple iOS versions 3.0 and above. You can check your current version by going to Settings > General > About > Version. If you're running an iOS before 3.0, upgrade to the latest iOS on Apple's site: http://www.apple.com/ios/ before setting up Google Sync.

2. Perform a sync with iTunes to ensure that Contacts and Calendars from your iOS device are backed up to your computer. Learn more about backing up your Contacts and Calendars.

3. We use Google Apps, so you can take advantage of this feature. Note that after you set up Google Sync, your administrator (Les) may also implement additional device management capabilities (such as remote wipe of District data created by Sync, or password requirements.  These would not be implemented without approval from the Superintendent or School Board.). 4. You need to understand “Push” Technology, and know whether you are charged for data usage “over the air”.  If you have a limited data plan, you may want to restrict Google Sync from updating when you are not on a wireless network so it doesn’t count against your data plan.  The Washougal School District will not be responsible for data charges incurred from using these directions and enabling downloading of messages or calendar events.  

You have to log into your WashougalSD.org account at least once from a computer BEFORE you set this up


Getting Started
1. Open the Settings application on your device's home screen.
2. Open Mail, Contacts, Calendars.

3. Press Add Account....

4. Select Microsoft Exchange. iOS 4.0+ allows multiple Exchange accounts. (
However, if you're on a device that doesn't let you add a second account, you could also use CalDAV to sync Google Calendar and IMAP to sync Gmail.)


Enter Account Info
5. In the Email field, enter your full NEW WSD Account email address ending in @washougalsd.org.
6. Leave the Domain field blank.
7. Enter your full Google Account email address as the Username.
8. Enter your Google Account password as the Password.

Notes about passwords:
Be sure that you have a strong password for your Google Account.
You have to log into your WashougalSD.org account at least once BEFORE you set this up
If you see an error message saying "Invalid Password", you may need to unlock your account by solving a short CAPTCHA. Go to https://www.google.com/accounts/UnlockCaptcha.
If you are a 2-step verification user, please use an application-specific password instead of your regular password in this field.
9. Tap Next at the top of your screen.
9a. Choose Cancel if the Unable to Verify Certificate dialog appears.
10. When the new Server field appears, enter m.google.com.
11. Press Next at the top of your screen again.


Enable Mail and Calendar
12. Select the Google services (Mail, Calendar, and Contacts) you want to sync. To receive and respond to meeting requests on your device, both Mail and Calendar need to be turned on, and New Invitations needs to be enabled in your Google Calendar settings.

To enable New Invitations, sign in to your Google Calendar using the web browser on your phone or computer. Go to Calendar Settings > Calendars > Click on the Notifications for the calendar you want to sync. Under Email check New Invitations (and any of the other Invitation settings you want enabled), and click Save.

13. Unless you want to delete all the existing Contacts and Calendars on your phone, select the Keep on my iPhone (or iPad or iPod touch) option when prompted. This will also allow you to keep syncing with your computer via iTunes.

If you want to sync only the My Contacts group, you must choose to Delete Existing Contacts during the Google Sync install when prompted. If you choose to keep existing contacts, it will sync the contents of the All Contacts group instead. If there are no contacts on your phone, the latter will happen -- the contents of your All Contacts group will be synced.



You've set up Google Sync! Synchronization will begin automatically if you have Push enabled on your device. You can also open the Mail, Calendar, or Contacts app and wait a few seconds to start a sync.

If you add calendars in Google Calendar after doing these directions, you will have to open Safari on your phone, and go to m.Google.com, then press Sync to choose to sync the new calendars.

Screen capture and basic image editing using "Preview" on a Mac

Screen Capture and Preview as Image Editor

    [Cmd + Shift-3] This will give you a cross-hairs, which allows you to drag a box around a region, and snap a picture of that, which will be saved as a picture file to your desktop.
   [Cmd + Shift + 4] This will snap a picture of everything showing on your screen, and save it as a picture file to your desktop.
   [Ctrl + commands above] If you press another modifier key [ctrl] while performing the keystrokes the snapshot will be saved to your clipboard. 
This lets you paste it into an e-mail or Word document without dragging the file in first.
   [Cmd-Shift-4] + [Spacebar] 
Using this key combination, you will be able to capture a certain stand-alone objects on your Mac, like the dock, the menubar, a whole window, etc. This is helpful for snapping pictures of entire objects to give context.

Once you have all these pictures, you may not know that you can use the “Preview” program to do basic image adjustments like cropping to make them more useful.
Cropping
You can double click one of your saved picture files to open it in Preview, then use the “select” tool to drag a box around the part of the image you want to keep, then click the “Tools” menu, then “Crop”.
Adjust Size/Brightness/Exposure/Contract/Rotate Images
The other items on the tools menu are helpful, too.  You can adjust the size of pictures, change the brightness, exposure, and contract, and rotate or flip images.

1. Inventory is underway at Hathaway
The every-other-year district inventory is moving along. Gause Elementary School’s inventory is done, and work is underway at Hathaway. Here are some simple steps to help make sure the work in your classroom goes smoothly.

- Make sure any personal equipment is marked as belonging to you and not the district. A sticker or note stuck to the equipment would be very helpful!

- Make sure any new WSD equipment to your classroom has a tag

- You must get permission from your building administrator to check out any equipment. There is a short form they need to keep track of while you have the item away from the building.

- If you have equipment on loan to another staff person, you should have it written down somewhere in your room, or document it with your building’s inventory designee.

2. Planned Transition to WashougalSD.org e-mail service

WSD Tech Support Specialists Sean Elkinton and Anthony Collver are busy on a project to shorten our district e-mail addresses. We will be switching to a Google based e-mail system, which will use the formula first.last@washougalsd.org instead of the older Washougal.k12.wa.us e-mail addresses we’ve had.

This new system will give you access to a district-wide contact list, and your own contact list from any location. The look and feel of e-mail will be the same regardless of which computer or device you use to check your mail, and messages marked read, replied to, or deleted will show up that way from all locations. E-mail signatures are available on any device you sign in from, and your vacation message can have a start and end date, so you don’t have to log back in to turn it off. The new e-mail system will integrate with other Google Apps, like Google Sites, Chat, and Calendars, using the same password as those services.

You will get an e-mail with your new username and password on January 25th, and all users will get switched over to the new system by February 1st.

Mail sent to your old e-mail address after switchover will get automatically forwarded to your new e-mail address.

3. Document Camera Refresher Class Postponed

The Document Camera Refresher class originally planned for January 12 or 19th is going to be rescheduled for later in the year.

4. Certified Staff Days Calendar – Back by Popular Demand

Certified staff who want to know if days are available for personal days can find the Certified Personal Days Calendar on the “For District Employees” page of the WSD website. This calendar shows whether a day is available or not (based on the contract language that specifies that no more than 8 certified staff may take a personal day on the same day). Contact Liza Linde at ext. 3041 for more information about how to use your personal days, which can be requested through the AESOP system, also linked on the “for District Employees” page, which is linked in the upper right corner of the WSD Site.

If you have a suggestion for something else that could be added to this page (check first to make sure it’s not already there!), e-mail Les Brown and he’ll look into adding it to share with everyone.

5. New Computer Lab at Gause

A new lab of computers has been purchased and installed at Gause, in a room off the library. The WSD Tech committee identified this as a need to support online testing for EasyCBM and state testing in 2013. Gause teachers will be able to schedule the lab for use with students using an online calendar in the Google Calendar system mentioned above.

6. Webquest Refresher on January 23 4-5:30

There is still lots of space in the WebQuest refresher class that Scott Rainey and Chelsea Meats are facilitating later this month. If you’re interested, just e-mail lester.brown@washougal.k12.wa.us and ask to be added to the list.
